Someone writes on WhatsApp on a Tuesday at 3 pm: “Hi, do you have availability for the weekend?”. It is the question in our diagnostic that makes people most uncomfortable, because almost nobody can answer with a number. And the most frequent answer —“honestly, I do not know”— is the most expensive of all: if nobody measures response time, nobody is controlling it.

Why ten minutes

Because that is how long a traveler takes to open the next tab. Whoever writes to a hotel is not writing only to that hotel: they have three or four open, and they buy from the first one that solves their doubt. Price matters less than it seems; the certainty that there is someone on the other end matters more. A guest who gets a reply in three minutes rarely keeps asking elsewhere.

Answering in an hour is answering. Arriving late is too. That is why “in under an hour” counts as a leak in our diagnostic, and “the same day” counts as a lost sale.

What it costs

A universal figure cannot be given without inventing it, so we propose you calculate yours:

  1. Count the WhatsApp messages your hotel received last week with booking intent.
  2. See how many ended in a booking.
  3. Look at the response time of the ones that did not.

The same pattern almost always appears: the ones that were lost are the ones that waited longest. You did not lose the sale on price or product. You lost it because nobody was on the other end.

How to measure it

WhatsApp Business shows the time of every message and every reply. That is enough to start: a sheet with date, time in, time of reply and outcome. At the end of a week you will have your average time and, more importantly, your distribution: how many were answered in five minutes and how many in three hours. What has to be attacked is the three hours, not the average.

How to close it without technology

Response time is not fixed with a chatbot. It is fixed with three decisions:

  • One person responsible per slot. Not “front desk”, but a person with a name, from 8 to 2 and another from 2 to 8. If the channel belongs to everyone, it belongs to no one.
  • A visible target time. Ten minutes, written where whoever answers can see it.
  • Prepared replies for what repeats. Availability, rate, location, parking, pets, check-in. Not to paste without reading, but so as not to start from scratch every time.

With that, most hotels go from hours to minutes in a week. Technology —a CRM, automatic after-hours replies, integration with the engine— comes later, to sustain it when volume grows.

What we do

We operate the channel. A contact center that receives every lead from the site, from WhatsApp and from the campaigns, classifies it —dates, guests, reason, budget—, replies in minutes, quotes, offers alternatives and sells what goes with the room: transfers, experiences, upgrades. Your hotel generates the demand; we convert it. And we hold ourselves to the same threshold: we reply to you in under ten minutes during business hours.

If you want to know which other leaks your sales are slipping through, the diagnostic tells you in seven questions. This is the first one.

Frequently asked questions

How long should a hotel take to reply to a WhatsApp?

Under ten minutes during business hours. It is the threshold we use at Ventrics and the one we ask of every property we operate: past that point the guest is already comparing with someone else and has frequently already booked.

And outside business hours?

An automatic reply that tells the truth —what time a person answers— and offers what can be solved without one: the link to the booking engine with the dates, the location, the policies. What does not work is silence until the next day.

Do I need a contact center for this?

You need someone to be responsible for the channel in every time slot, with a target time and a measurement. A contact center is the way to make it scalable when the volume exceeds what a front desk can handle without neglecting the guest standing in front of it.

Which of these are you missing?

In seven questions, the diagnostic shows you where your sales slip away. Free, no email.
